Non-Certified Time Periods and Pay Day Schedule
Non-certified employees will receive their salary over twenty-four (24) equal payments. Pay dates shall be the 15th and last day of each month, or the last day prior to the 15th and last day of the month when those dates fall on a weekend or a non-business day.
Work done on an hourly basis from the 1st day of the month through the 15th day of the month shall be paid on the last day of the month. Work done from the 16th day of the month through the end of the month shall be paid on the 15th day of the next month.
Name or Address Change
If you change your name, address or phone number, you must report it to the Business Office. In order for us to make a name change, you are required to bring your new social security card to the payroll office. To apply for a new social security card, call 1-800-772-1213. It is important that accurate, up-to-date information is kept, so report changes promptly.
Public Employees Retirement Association
When you begin your employment with the Hibbing School District, you also begin contributing to your future retirement as a member of the Public Employees Retirement Association (PERA). Each pay period your contribution to PERA will be deducted from your paycheck. The District, as your employer, also contributes to PERA on your behalf.

Employee Self Serve
All employees have the ability to view their payroll information on-line. Prior to your initial use in the ESS system you will need to obtain your unique employee ID from your payroll clerk. When you initially sign in you will need to establish a password. Once in the ESS system, you will be able to view the following payroll information:
- View your current gross pay and net pay detail
- View all payroll related calendar year-to-date information
- Print your calendar year-end W-2 information and forms
- View all your leave accrual and usage information (Personal Leave, Sick Leave, Vacation)
Direct Deposit
Pursuant to Minnesota Statute 471.426, all employees of Independent School District No. 701 will be subject to mandatory direct deposit for their payroll checks, with the following exceptions:
- All extra-curricular assignments will be paid by check, and released by the Activities Director and/or Building Principal after completion of the work assignment, or
- Employees may send a letter to the Superintendent of Schools requesting they be exempt from the direct deposit program. If an employee chooses to do so, their payroll checks will be mailed to them through the U.S. Postal Service, or the employee can make arrangements to pick up their check in the Business Office.
Employees will receive their payroll check stubs via inter-school mail when they become available. Deposits will not be made into your bank account until the actual payroll date.
Flexible Benefit Plan
The Hibbing Public Schools Flexible Benefit Plan allows you to set aside money from your before-tax income which you can later use for certain eligible health care and dependent care related expenses. As a result your taxable income is reduced thereby saving you tax dollars and increasing your take home pay.
Eligible expenses include:
- Medical expenses (not paid by insurance)
- Dental expenses (not paid by insurance)
- Allowable over-the-counter items
- Day Care expenses
In order to utilize the plan, you must estimate the amount of qualified expenses that you, your spouse and eligible dependents will incur during the plan year. You then reduce your pay by that amount, creating a pool of tax-free dollars for you to draw on as qualified expenses occur.
In order to receive your tax-free reimbursement, a claim form and documentation of your eligible expenses must be submitted to the Payroll Clerk.
Open enrollment for the flexible benefit plan is held each September for the plan year beginning October 1st.
Tax Sheltered Annuity Program
The Hibbing Public Schools tax sheltered annuity program allows you to have a portion of your earnings pass directly to a tax-sheltered retirement program. In this program, your money accumulates with no state or federal income tax. This tax shelter continues until you decide to begin a payout on the money in your account.
Each contribution you make to a tax-shelter is excluded from your current income, which means you are investing before-tax dollars. Your tax savings depends on the amount you contribute and your tax bracket.
Employees of the Hibbing School District are eligible to participate only in tax- sheltered programs already existing within the District. A current listing of the vendors approved are listed below:
